Job Type: Part-Time (approximately 20-25 hours average per week), Hourly, Non-Exempt
- 14-16 hours M&Th in-office hours, 4 hours cleaning, misc. projects.
Reports To: US Director of Operations and Engagement

Our U.S. office operates with a lean, collaborative team that supports impactful ministry work on the ground in Kenya.
Position Summary
The Office Manager plays a vital role in ensuring the smooth, day-to-day operations of the Kenya Hope U.S. office. This position is responsible for front-office coordination, basic financial and administrative tasks, facility upkeep, and general office support. The ideal candidate is dependable, organized, detail-oriented, and comfortable handling both administrative and hands-on office responsibilities.
Key Responsibilities
Office Administration & Front Desk Support

Answer incoming phone calls and direct messages appropriately

Check and distribute incoming mail and packages

Prepare and send outgoing mail and shipments
-
Maintain office supplies and place orders as needed

Serve as a welcoming first point of contact for visitors
Scheduling & Calendar Management

Maintain the office calendar and shared schedules
-
Coordinate internal meetings and appointments
-
Support staff with scheduling and basic administrative needs
Financial & Clerical Support

Prepare and make weekly financial deposits

Maintain accurate records related to deposits and office transactions

Assist with basic administrative and clerical duties as assigned
Office Maintenance & Organization

Keep the office clean and orderly, including, but not limited to:

Emptying trash cans

Cleaning and tidying of common areas

Ensuring workspaces are presentable

Monitor office facilities and report maintenance needs
General Office Support

Support day-to-day office operations and staff needs

Assist with special projects and tasks as assigned

Uphold confidentiality and professionalism in all office matters
Team Travel & Logistics Coordination

Coordinate and manage all logistics for U.S. teams traveling to Kenya, including flights, accommodations, itineraries, and necessary preparations, in close collaboration with the Kenyan office.

Ensure effective communication and smooth transitions for all travel participants.
Qualifications

High school diploma or equivalent required
-
Previous experience in an office, administrative, or receptionist role preferred

Strong organizational and time-management skills

Reliable, punctual, and detail-oriented

Ability to manage multiple tasks with minimal supervision

Proficiency in Microsoft Office and/or Google Workspace, Quickbooks, and Online Database

Comfortable handling routine financial tasks (training provided as needed)
